In short
A spray record logs what was applied, where, when and at what rate.
In the EU, Implementing Regulation (EU) 2023/564 has applied since 1 January 2026 and moves those records into electronic form, with a national option to delay the transfer. Planva builds a crop protection log from your field and operation data as XLSX and PDF files.
What to log for every application
| Record | What to write down |
|---|---|
| Product | Trade name and registration number. |
| When | Date of the application. |
| Where | The field and the area treated. |
| Crop | The crop, and its growth stage if your scheme asks for it. |
| Dose | Rate applied and water volume. |
| Who | The person responsible for the application. |
Article 67 of Regulation (EC) No 1107/2009 is the EU baseline: professional users keep records of the product, the time, the dose, the area and the crop. National schemes and buyers may ask for more, so treat this table as the floor.
What changed in the EU in 2026
- Applies from 1 January 2026. Regulation (EU) 2023/564 sets the content and format of the records, and each use must be recorded without undue delay.
- Electronic format. A record not first made electronically is moved into the prescribed format no later than 30 days from the date of use. Member States may set shorter periods.
- Optional delay. Regulation (EU) 2025/2203 lets a Member State allow uses before 1 January 2027 to stay out of the electronic format.
Stop keeping the record twice
The usual failure is a tidy plan in one place and a spray diary in another. At the end of the month someone copies one into the other, and small differences creep in. The record stays honest when it comes from the operation itself, because the field, the product, the rate and the area are already there once the work is closed.
How this works in Planva
- Reference data. Crop protection products with active substances, toxicity class and bee isolation period.
- Plan and actual. An agroplan holds product and rate per field, and the agro-operation holds what was actually applied, with water rate.
- The log. The Planva agent prepares the crop protection log as XLSX and PDF files.
The XLSX and PDF log is a working record. Check with your authority whether it meets your electronic format rules. To see how planned and applied rates reconcile, read plan versus actual for field work.
